Gi-Stock is a modern, multi-use application for monitoring laboratory reagents and consumables supplier contracts. Furthermore, it encompasses all necessary functions and “tools” for electronically managing orders. It automates reagent usage control and manages department logistics.

It has been designed according to the actual needs and demands of a modern healthcare facility and it is highly customizable. These characteristics make it flexible and user friendly, while at the same time allowing the in-depth control of processes and the implementation of safety protocols throughout all stages.

A brief description of the function per department follows:

In the Laboratory
  • Reporting of supply requests for reagents and consumables, with semi-automatic control of finances and quantity restriction per contract or supplier, as well as orders pending.
  • Approval and transmission of supply requests to the pertinent department (Pharmacy or Supplies department).
  • Reception of supplies, with automatic update of the stock.
  • Monitoring of open orders.
  • Monitoring stock levels, implementation of safety stock protocols.
  • Automated processes for the depletion, destruction, return and transfer of reagents and consumables.
  • Automated stock recording for the individual laboratory warehouse.
  • Statistical data for the use of reagents and consumables by department, in total or per product, per supplier, per contract, or per analytical system.

In the Pharmacy
  • Update and management of the central record of reagents and consumables, in cooperation with the Supplies department.
  • Reception of approved order requests from all departments of the laboratory, in association with the Supplies department. Automated control of financial and quantity restrictions per contract or supplier, as well as of pending orders.
  • Report supply requests, in order for the Pharmacy to cover the needs of departments.
  • Approval of supply requests, in cooperation with the Supplies department.
  • Sending approved supply requests to suppliers, via several means like fax or email.
  • Reception of orders by supplier deliveries and forwarding to departments with automatic update of the stock.
  • Update and management of invoices and shipment slips record, in cooperation with the Supplies department.
  • The Gi-Stock documents protocol interfaces with accounting applications.
  • Central monitoring of open orders.
  • Central monitoring of stock in total or by department, implementation of safety stock protocols.
  • Automated stock recording process for the Pharmacy.
  • Statistical data for the use of reagents and consumables, for all departments in total or in detail per department, per product, per supplier, per contract, or per analytical system.

In the Supplies department
  • Update and management of the central record of reagents and consumables, in cooperation with the Pharmacy.
  • Update and management of the central record of suppliers.
  • Recording and management of all supply contracts for all departments.
  • Defining rules and processes for the control of quantity or financial limitations of contracts or suppliers.
  • Registration of products as “contractual” or “non contractual”.
  • Approval of supply requests, in cooperation with the Pharmacy.
  • Update and management of invoices and shipment slips record, in cooperation with the Pharmacy.
  • The Gi-Stock documents protocol interfaces with accounting applications.
  • Statistical data for the use of reagents and consumables, for all departments in total or in detail per department, per product, per supplier, per contract, or per analytical system. Comparative statistical controls for preparing supply tenders design studies.
  • Comparative statistical data between actual and theoretical consumption (in cooperation with the Gi-Lab, Gi-Blood, Gi-Clinic, Gi-Cell, & Gi-Comm applications).
  • Financial data concerning reagents use, both in total and in detail per department, per supplier, per contract, or per product.

Administration & Management Information
  • Statistical data for the use of reagents and consumables, for all departments in total or in detail per department, per product, per supplier, per contract, or per analytical system. Comparative statistical controls for future supply (tenders) design studies.
